Privacy policy

1. Our role and the customer’s role
LIPPEM LLC is the controller for data needed to administer accounts, security, support, and billing. When a business connects channels and communicates with its own contacts, that business determines the purposes of the communication and Lippem processes the data under its instructions, unless law requires otherwise.
2. Data we process
We process general service data and the information supplied by each integration that the customer enables.
General data
- Account and operational data: name, email, company, users, roles, sessions, settings, and security logs.
- Contact and conversation data: name, phone number or platform identifier, username, profile image when supplied by the provider, text, audio, images, video, attachments, reactions, timestamps, delivery status, and webhook metadata.
- Content uploaded by the customer for AI agents, including documents, answers, and business information.
- Questions users voluntarily enter into Lippem's help assistant.
We also retain records of acceptance of the terms and acknowledgement of the privacy notice: user, workspace, email, date, language, document versions and signup stage. We use them to establish the accepted conditions and handle inquiries or disputes; they do not authorize marketing.
Data by integration
WhatsApp Business
For WhatsApp Business messaging, an authorized administrator connects the business account through Meta’s official authorization flow. We process the WhatsApp Business Account (WABA) identifier, connected phone number identifiers and numbers, account information, granted permissions and access credentials. We use them to maintain the connection, manage the authorized messaging functions and receive webhook events. Reusable credentials are stored encrypted on the server.
For conversations, we process the contact’s phone number or identifier and name when provided, message identifiers and content, supported attachments, timestamps and delivery or read status returned by Meta. These data allow authorized workspace users to identify contacts, receive messages, send replies and use approved templates where applicable. If the customer enables an AI agent or workflow, the necessary conversation content and context may be sent to the configured AI provider to perform that function.
Disconnecting the account requests cancellation of its webhook subscription and deletes its reusable credentials from active systems. This does not automatically delete contacts, conversations or attachments already stored in Lippem. The retention, backup, verification and deletion periods described in this policy apply. Deleting copies in Lippem does not delete copies held by Meta or conversation participants. Data deletion instructions
Facebook Messenger
We use the Pages authorized through Facebook Login for Business to let you choose which ones to connect. The current Messenger connection does not query business portfolios or request business_management. The temporary user authorization used for selection is not stored as a reusable user credential. Portfolio metadata retained from an earlier connection follows the retention and deletion rules in this policy.
If you enable Messenger utility templates, we exchange template definitions, language, examples, review status and personalized parameter values with Meta to create templates, copy templates from Meta’s library and send transactional updates. Sent template content and identifiers are stored in conversation history. Templates are associated with the sending Page; Meta remains the authoritative source for their current approval status.
Connecting Messenger is optional and requires an authorized workspace administrator to sign in through Facebook Login for Business and select Facebook Pages they manage. We receive the authorized Page identifiers, names, category, available follower count and Page link, granted permissions and access credentials. We use these to list and connect Pages, display their connection status and subscribe to messaging webhooks. Reusable Page credentials are stored encrypted on the server and are not shown to contacts.
For people who message a connected Page, we process the Page-scoped identifier (PSID), first and last name and profile picture when Meta provides them, message identifiers and content, attachments, quick replies, postback selections, timestamps and delivery or read events. The PSID identifies a person within that Page; it is not a phone number. Messenger does not automatically provide a contact’s phone number or email. We save available names and picture links to identify contacts in the inbox, preserve manual edits and periodically refresh automatically obtained profile information.
We exchange the necessary identifiers, messages, media and credentials with Meta to receive messages and send authorized replies. Authorized workspace users can access conversations according to their roles. If the customer enables an AI agent or workflow for Messenger, the necessary conversation content and context may be sent to the configured AI provider, such as OpenAI, Anthropic or Google, to perform that function. Connecting a Page alone does not send all conversations to an AI model. We do not sell Messenger contact or conversation data.
Messenger data follows the retention, backup and verified-request periods in this policy. Disconnecting a Page deletes its reusable credentials from active systems and requests removal of the webhook subscription; it does not automatically erase stored contacts, profile information, conversations or files. You can also revoke Lippem’s authorization in Meta settings. A contact can request access, correction or deletion without having a Lippem account. Deletion in Lippem does not delete copies held by Meta or other participants.
TikTok Business Messaging
TikTok messaging is an optional integration, subject to TikTok approval, account eligibility, regional availability and the customer’s plan. Describing it here does not mean that TikTok has approved Lippem or that the channel is available to every account. It is separate from TikTok video publishing, advertising and TikTok Shop messaging.
When an authorized administrator connects an eligible account through TikTok’s official authorization flow, we process the TikTok account identifier, granted permissions, account eligibility information, encrypted access and refresh credentials and their expiry dates. For supported conversations, we process account and contact identifiers, conversation and message identifiers, message text, supported images and videos, timestamps, webhook metadata and the message status actually provided by TikTok. We do not obtain a phone number or other profile information unless TikTok provides it for the authorized feature.
We use this information to maintain the authorized connection, display customer messages in the shared inbox, assign conversations, retrieve supported attachments and send replies requested by the business. If the business enables AI replies or workflows, the relevant message content, conversation context and configured knowledge may be processed to produce a reply or perform an authorized action. The business is responsible for providing appropriate notice to its contacts and establishing the permissions or legal basis required for its communications.
We do not use TikTok conversation data to sell personal information, build advertising audiences, assess credit or train general-purpose AI models. This integration does not authorize collection of unrelated videos, followers, advertising accounts or TikTok Shop conversations. Automated replies remain subject to the same TikTok permissions, supported capabilities and messaging limits as human replies.
For TikTok Business Messaging, we exchange with TikTok the identifiers, messages, media and credentials needed for authorized operations. Hosting, storage and backup providers process data needed to deliver the service. When the customer enables AI, the required content and context may be sent to the configured provider, such as OpenAI, Anthropic or Google, depending on the feature used. The customer must review that configuration before enabling automation for TikTok conversations. Connecting the channel alone does not transfer every conversation to a model. You may request applicable provider and processing-location information at support@lippem.com.
TikTok OAuth credentials are encrypted server-side with AES-256 and are not shown to contacts or returned to the browser. The TikTok connection requires a configured encryption key. TikTok webhook signatures are verified before events are accepted, and connection operations require an authorized workspace administrator. The connection uses HTTPS.
Disconnecting TikTok stops use of the connection and removes reusable credentials from active systems. The account holder can also withdraw permission through TikTok’s authorized application settings. Disconnection does not immediately erase every stored message and file. When authorization is withdrawn, TikTok data no longer needed for a permitted purpose must be deleted or anonymized; it must not be kept indefinitely by default. The customer or contact may request deletion, including credentials, messages, media and integration state, using the TikTok instructions on our data deletion page. We verify identity and process the request within the periods in section 6, explaining any applicable exception.

Google Calendar
Connecting Google Calendar is optional and authorized through Google OAuth. We access your account identifier and verified email; your calendar list and its permissions, names, and time zones; availability intervals; and event data returned by Google, such as identifiers, titles, descriptions, dates and times, locations, organizers, attendees and their responses, recurrence details, and video meeting links. We store encrypted OAuth access and refresh credentials, agenda settings, copies of synchronized events, and appointment records linked to WhatsApp contacts or conversations where applicable.
We use Google Calendar data to display calendars and events, check availability, and create, update, reschedule, or delete events following user actions or authorized automations. We may add attendees and request Google Meet links; Google may send invitations and updates according to the action and notification option selected. This connection does not grant access to Gmail, Drive, or Sheets. Authorized workspace users may access integration information according to their Lippem permissions.
We transfer the data needed to perform these actions to Google, including contact details that a user adds to an appointment. Infrastructure providers process data needed to host and operate the integration. If the customer enables an AI agent's scheduling tools, availability and appointment lookup or management results become part of the context sent to the AI provider used for that conversation. This supports replies and the requested booking; it does not automatically send all calendars to the model. Information shared with attendees or contacts depends on the invitations and replies authorized by the user or their automations.
Lippem's use and transfer of information received from Google APIs adhere to the Google API Services User Data Policy, including its Limited Use requirements. We limit use to requested scheduling and assistance features. We do not sell this data or use it for advertising, credit assessment, or training general-purpose AI models. Transfers are limited to authorized features, security needs, legal compliance, or a corporate transaction with the prior consent required by Google. We do not allow our staff or providers to read this data except with the user's affirmative consent for specific data, for security, to comply with law, or for aggregated uses permitted by Google.
Disconnecting Google in Lippem disables the connection and deletes reusable credentials from our active systems. It does not automatically revoke permission in your Google Account: you can also remove access through your Google Account's third-party connections. Disconnecting or revoking permission does not automatically delete synchronized copies, settings, or appointment history stored in Lippem. We retain these for workspace features and history while needed or until a deletion request is fulfilled, subject to the exceptions and time limits in section 6.
To request deletion of Google data stored in Lippem, email support@lippem.com with the Google account, workspace, and data you want deleted. We verify your identity and authority; do not send passwords or tokens. See our Google data deletion instructions. Deleting copies in Lippem does not delete original Google Calendar events. Deleting an event in Google is a separate action that may affect attendees.
3. How we use this data
- Authorize, connect, and maintain channels requested by the customer.
- Receive, display, send, and synchronize messages, files, and status updates in the shared inbox.
- Run assignments, workflows, and customer-configured AI responses when enabled.
- Answer questions about using Lippem through the help assistant and public product guides.
- Secure the platform, prevent abuse, troubleshoot incidents, provide support, and administer accounts.
4. Providers and international transfers
We share only the data needed with Meta Platforms to operate WhatsApp Business and Facebook Messenger; with infrastructure, storage, transactional email, monitoring, and payment providers, including OVHcloud, Cloudflare R2, Brevo, and Stripe as applicable; with the AI provider enabled by the customer; and with OpenAI to process questions sent to Lippem's help assistant. We do not automatically send workspace conversations or documents to this assistant. Some providers process data in other countries, including the United States, subject to their contracts and safeguards. We do not sell contact or conversation data.
5. How we protect data
Provider tokens are stored encrypted, customer data is isolated by tenant, and access is protected by authentication, authorization, and session controls. When a Meta channel is disconnected, Lippem requests removal of its webhook subscription and deletes the stored reusable token from active systems.
6. Retention and deletion
We retain account, contact, conversation, and connected calendar data while the service is active or for as long as needed to provide the requested functions. We acknowledge a verified request within 7 business days and complete it in active systems within 30 days, unless legal obligations, disputes, or fraud prevention require retention. Recovery backup retention is described below; it differs from deletion in active systems. See our data deletion instructions.
Our retention commitment for deleted data in recovery backups is a maximum of 90 days. These copies are kept for recovery rather than ordinary product use. If a backup is restored, completed deletion requests must be reapplied before the restored data is returned to ordinary use. Any legal preservation exception is limited to the data and period actually required and is explained when processing the request.
7. Rights and choices
You may request access, correction, or deletion. If you are a contact of a business using Lippem, contact that business first so it can identify your conversation, or email support@lippem.com. Administrators can also disconnect channels in Lippem and revoke access from Meta.
Anyone whose data Lippem processes may request access, correction, or deletion at support@lippem.com, including people who do not have a Lippem account or have stopped using the service. We may request only the information needed to verify identity and authority. Removing an integration's access and requesting deletion of data already stored are separate actions.
You may request a copy of your data and, where applicable, an export in a commonly used format, restriction of processing or consideration of an objection. Identify the workspace, account or contact identifier, channel and requested scope; do not send passwords or tokens. You may contact Lippem directly even if you do not administer the workspace. The team responsible for privacy handles these requests at support@lippem.com. See the deletion instructions for each integration.
8. Children
Lippem is a business service and is not directed to children under 13.
9. Changes to this policy
We may update this policy as the platform evolves. The latest update date appears at the beginning of this document. We will communicate material changes through registered contact channels or a visible notice in Lippem. Before using Google data for a new purpose or accessing data not previously disclosed, we will update this policy and obtain the user's consent where required by Google or applicable law.
